Policies & Procedures
Reserving Equipment:
Reservations are easily made by contacting an Event Specialist via telephone, email , fax, or in-person at our rental showroom. Generally, reservations should be placed well in advance of your event to ensure availability. A rental Reservation with a 50% Deposit will guarantee the items for your event.
Final Payment & Equipment Confirmation:
A Customer Service Representative will contact you at least 72-hours prior to delivery or warehouse pick-up date to confirm final counts, receive final payment, and discuss any special instructions. No orders will be fulfilled until full payment is received. We accept Visa, Mastercard, American Express, Discover Card, Cash and Checks. A valid drivers' license and credit card are required for all purchases.All orders should be finalized 72-hours prior to delivery or pick-up. Equipment additions that are requested after the 72-hour confirmation period are subject to availability.
Restocking Charge and Cancellation Charge:
A 25% restocking charge may apply if you reduce your order following the 72-hour confirmation period.A 50% cancellation charge may apply if you cancel your order following the 72-hour confirmation period.
Delivery and Pickup Service:
Delivery and pickup services are available on all orders regardless of size. The basic fees start at only $35.00 roundtrip, and are based on geographic location. Additional fees are assessed for extraordinary conditions such as excessive distance, additional trucks, additional time and labor, same-day services, multiple drop-off or pickup locations, requests for specific or after-hours delivery and pickup times, use of elevators, staircases, and limited access points.In most cases, orders are delivered either the day before the event or the day of the event. Pick-ups normally occur one to two days after the event. You may request 8:30 AM - 1:00 PM or 1:00 PM - 4:00 PM for your delivery and pickup. Keep in mind, however, that these times are strictly preferences and are not guaranteed.
Delivery and Pickup services must be scheduled with an Event Specialist.
Site Preparation:
Prior to our arrival at your event site, please be sure to clear the area for our delivery team. Helping ensure easy access and clearing the area of vehicles, furniture, tree branches, and any other obstructions can minimize fees associated with delivery and pickup.If ordering a canopy or tent, it is your responsibility to notify us of overhead electrical lines, phone lines, power poles, trees, and any underground utilities or irrigation lines, or conditions that may interfere with the ability to properly stake or anchor equipment. All underground utilities and irrigations systems must be clearly marked before equipment can be installed. Client assumes all responsibility for any damage to underground equipment in absence of such notice. In many cases, it is required we contact Arizona Blue Stake, a free service, to mark all utilities. Please consult with an Event Specialist for additional information.
On-Site Service:
Our Event Specialists are available If you would like to retain their services for on-site assistance prior to or during your event. The basic fee is $50.00 per hour with a two-hour minimum.
Additional Charges:
Fire permits and fire-safety packages may be required for canopies and tents. In addition, Special Use permits may be required for your event. Please consult an Event Specialist for more information.
Cleanup and Preparation for Pickups and Returns:
In order to avoid a 25% cleaning fee, all dishes, glasses, flatware, serving pieces, grills and food service equipment must return rinsed and/or free of food.Please return all rental items to the proper rack or storage container in which they were originally packed. All racks and containers must be returned or replacement charges will apply.
Soiled or wet linens should be allowed to dry before bundling or placing in bags for return or mildew may occur. Linens returned with burns, holes, tears or wax drippings will incur replacement charges.
All tables and chairs should be broken-down and stacked as delivered. Please have all rental items in one place at time of scheduled pickup. Do not leave any rental items out in foul weather as equipment or product damage may occur, leaving you responsible for replacement charges for those items.
